Event Design Process

The text discusses the event design process focusing on co-creation, visualization techniques like Event Canvas, and integrating sensory experiences for transformative events. It emphasizes the importance of emotional engagement, art, and sustainability in creating unique event experiences.

Event Design Process
Event Design Process – Co-Creation in Motion To enable these magical moments, it is sensible and essential in the design process to bring the right people together and to look at the event from a bird's eye view and also invest time: We see our role here as sparring partners and combine our own concepts with creative techniques such as the Event Canvas and the Dramatic Arc to create dynamic and captivating concepts. The Event Canvas visualizes event stakeholders and helps in elaborating event goals from various perspectives: Examining the different participants before the event and the desired vision after the event then frames the event delta with the aspects that the event should change and transform. In the team, empathy maps are used to make the emotions of the participants and challenges conscious, and with this shared vision, prototypes can be created. Touchpoints from the beginning to the end of the event are illuminated. An event does not begin only when entering the venue, but already with the invitation by mail or email. The arrival and accreditation of the participants represent the warm welcome that forms the basis for the further experience. Here, all senses can be integrated, and aesthetic aspects also play a role in the event flow. In the model of the “Dramatic Arc”, the climax is not the end of the event, but here is where the integration and reflection begin, to make the experience applicable to one's own context. SeeArts recognizes the importance of this step and is committed to supporting participants in integrating the experiences gained at the event into their daily lives. This integration helps participants solidify what they have learned and make the experience sustainable, as this integral component often dissipates in many impulse-firework formats. Embodiment – Learning with All Senses An integral part of the experiences that SeeArts creates is the inclusion of embodiment (our body intelligence) and the activation of all senses, which allows for a deeper connection with oneself and the guests. Whether visual art, live music, culinary experiences, or interactive workshops, SeeArts aims to create a comprehensive experience that fully engages participants. Ultimately, SeeArts combines art, emotions, and experiences to create unique and transformative experiences. Inspired by Fabian Seewald and his philosophy, SeeArts is pioneering new ways in event design. The Experience Designers leverage the power of art and culture to create transformative experiences that deeply touch participants. SeeArts represents a new type of event that not only entertains but also inspires, touches, and changes. Seewald's work exemplifies the importance and role that art can and should play in today's experience economy. In the spirit of creative flow, we have a checklist and a core question for you: What emotions do you want your guests to experience at your event? Experience Design - Checklist: Experience factors that lead to rethinking event design:
  1. Consider all senses – how can smell, touch, and taste be incorporated into the spaces #AllSenses
  2. Connection over Content – What formats and opportunities exist to connect participants and make the content more understandable together #Connectedness
  3. Embodiment – Activation of body & mind – which sessions help & integrate learning in motion? #Embodiment
  4. Surprise Moments – what surprises your guests? Is there room for chance – How is serendipity considered in the event context? #Serendipity
  5. Rituals – which ritual recurring elements are used and how are they staged? #Rituals
  6. Co-Creation in planning: Who are the different event stakeholders and when do they come together and how much time does the team get for event design? #Co-Creation
  7. Sustainability (ecological, social, economic) & Inclusion & Diversity - Who considers these aspects in all respects and waves the rainbow flag? #Sustainability
  8. Digital-Analog-Hybrid Solutions – How is technology sensibly and value-addingly used and helps transition from FOMO (Fear of Missing out) to JOMO (Joy of Missing out)? #Hybrid
  9. Storytelling – what is the thread throughout the event – do the different aspects build on each other and also tell the brand story? #Storytelling
  10. Communication of the event vision to all stakeholders & Feed-Forward:
An event is a total work of art, and bringing all stakeholders together with the vision on-site is often a game-changer because then one becomes part of something greater. Equally important is to integrate the shared momentum into the feed-forward process after the event: After the event is before the event. #Togetherness
